Privacy Policy

This policy explains what personal information Raven Sound collects when you use this website or get in touch, what we do with it, and the choices you have.

Who we are

Raven Sound is run by Jamie Stallwood, a freelance sound engineer based in the South East of England. Raven Sound is responsible for (the “controller” of) the personal information described here.

What we collect

When you use the contact form, we receive the details you enter: your name, email address, phone number (if you give it), the service you’re interested in and your message.

When you email us or book a service, we keep your emails and the details we need to provide the service, such as your event date, venue, contact details and what you’ve booked, along with quotes and invoices.

When you visit the website, our hosting provider (GitHub) automatically records technical information such as your IP address and browser type, for security and to keep the website running. We don’t use this to identify you.

If you accept cookies, Google Analytics collects information about how you use the website, such as which pages you visit, how long you stay, roughly where you are (town or region), the type of device and browser you use, and how you found us. Google Analytics doesn’t record your full IP address, and we can’t use it to identify you. If you reject cookies, none of this is collected. See our Cookie Policy.

We don’t use advertising tools.

How we use your information

We use your information to:

  • reply to your enquiry and give you a quote
  • plan and provide any service you book, and keep in touch about it
  • keep business and accounting records
  • understand how people use the website, so we can improve it (only if you accept cookies)

We only contact you about your enquiry or booking. We don’t send marketing emails, and we never sell your information or pass it on to anyone for their own marketing.

Our lawful reasons

Data protection law requires a lawful reason for using your information. Ours are:

  • To take steps towards, or carry out, an agreement with you: answering your enquiry, quoting and providing the services you book.
  • Legitimate interests: answering general questions and keeping sensible records of our work.
  • Legal obligation: keeping financial records for tax purposes.
  • Your consent: website statistics from Google Analytics. You can change your mind at any time using the Cookie settings link at the bottom of every page.

Who we share it with

We use a small number of trusted services to run the business, which handle your information on our behalf:

  • Web3Forms, which delivers contact form messages to us by email
  • Google, which provides our email (Gmail)
  • GitHub, which hosts this website
  • Google Analytics, which gives us statistics about visits to the website (only if you accept cookies)

If you ask us to arrange stage building or lighting through one of the professionals we work with, we’ll pass on the details they need, but only with your agreement.

We may also share information if the law requires it.

Some of these services may store or process information outside the UK. Where they do, they’re required to protect it to UK standards, for example under the UK–US Data Bridge or the UK’s approved contract terms.

How long we keep it

  • Enquiries that don’t lead to a booking: up to 12 months after our last contact.
  • Booking records, quotes and invoices: up to 6 years, as required for tax and accounting.
  • Google Analytics information about individual visits: 14 months. After that, only overall totals (such as the number of visitors each month) remain.

After that, we delete it.

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct anything that’s wrong or incomplete
  • ask us to delete your information
  • object to, or ask us to limit, how we use it
  • ask for your information in a format you can pass to someone else

Complaints

If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy

We’ll update this page if anything changes. The date below shows when it was last updated.
